Using Lazy Save

 

Lazy Save is Lazy Doc’s indexing module.

The main window is optimised so as to give maximum space to the preview pane. This is in order to make indexing as easy as possible.

 

Image Select Mode

 

 

A list of available images is displayed in the left hand pane. If one is selected, then it will be shown in preview mode in the right hand pane. When the ‘Index’ button is clicked, the left hand pane will switch to Index Mode. Clicking ‘Remove’ will remove the selected image from the list. ‘Exit’ closes the programme.

Indexing Mode

 

When the required image has been selected, clicking the ‘Index’ button will enable the indexing pane on the left hand side.

 

Fields for indexing are shown at the top. Some values may already be filled out, depending on the default value for that field.

 

Further down are fields that are labelled ‘Date Created’ and ‘Date Indexed’. These fields are filled automatically and cannot be altered.

 

The last field ‘F.A.O.’ is for where there is a requirement to draw the attention of a specific user to this page.


Tabs

 

Below the fields are some Tabs marked: - ‘Actions’, ‘Automation’, ‘Image’, and ‘CD/DVD’.

Each of these Tabs has some associated controls.

 

The ‘Actions’ Tab

The ‘Actions’ Tab has just two buttons: -

Cancel

This returns to the ‘Select Image’ mode without saving the file into storage, or indexing it into the database.

Save

This Saves the selected file into storage, The name may be changed in accordance with a convention set elsewhere. It will also be given a reference in the database and associated with the values set in all of the above fields. In other words, the file will be imported into Lazy Docs.

 

The ‘Automation’ Tab

The ‘Automation’ Tab has six check boxes:-

Zoom to zone(s)

This makes the displayed image jump to the magnification and area specified for a particular field (in the ‘Set Zones’ form) when that field is selected.

Save on enter

This determines how an <Enter> key press is to be interpreted. If checked then an <Enter> key press will be interpreted as if the ‘Save’ button had been clicked. If not checked, then an <Enter> key press will be interpreted as if the <Tab> key had been pressed (i.e. the next field will be selected).

Load Next

This will cause the next image in the list to be loaded ready for indexing, without returning to the ‘Select Image’ mode

Auto Despeckle

This can be used to attempt to clean up a grubby image. It causes small areas of black (typically about one tenth the size if a full stop or less) to be converted to white. ¨

Auto Deskew

This can be used to straighten images which have been scanned slightly askew. It may not work perfectly for all images, but usually gives acceptable results. ¨

Auto Crop

This can be used to remove black borders from images (usually associated with under sized documents). White borders can also be specified, in order to clean up the remaining thin black edge. ¨


 

The ‘Image’ Tab

The ‘Image’ Tab has six buttons: -

 

 

Zoom In

This button is greyed out until a rectangle is drawn on the displayed image with the mouse.

When clicked, it causes the part of the image selected to be magnified to fill the full image display area.

 

 

Memo 

This button is greyed out until a memo type field is selected for indexing. When clicked, the ‘Memo Window’ is displayed. This allows a considerable amount of text to be associated with the image. The font, size, colour and attributes of the text can be selected from tools at the bottom left of the ‘Memo Window’.

 

Rotate

This causes the image to be rotated 90° to the right for each time it is clicked.

OCR to All

Clicking this will cause the part of the image specified for each field to be scanned with an O.C.R. engine, and any text found, to be inserted as the value for that field. Only fields which have associated zones set up for them can be populated in this way. ¨

These two buttons move to the next page or previous page of a multi page TIFF file. If the first or last page is already displayed, then the corresponding button will be greyed out.

 

The ‘CD / DVD’ Tab

The ‘CD / DVD’ Tab has a check box and text boxes: -

Use CD mode

Checking this box will causes files (images) to be stored in a way that facilitates storage on CD or DVD.

Media Size

The maximum capacity of the media to be used (in Megabytes) can be set in the ‘Media Size’ text box.

CD / DVD Label

A suitable label for the media can be typed in here. The right hand part of this will normally be numeric, and can be automatically incremented by Lazy Save when new media is required.


Scanning

A Scan button is included for use with TWAIN enabled scanners   Clicking this will show the scanning window. This is sizeable in the usual way.

 

A scanner may be chosen or the default shown accepted. If the ‘Scan’ button is clicked with no scanner selected then the

dialogue will be shown automatically.

 

Files 

Files may be named either with a simple name typed into the ‘Output File Name’ box or by using the three part ‘Output File Template’.

 

 

The first part of this is the alphabetic part of the file name, then there is a numeric part which can be incremented by the software if required, then finally the extension which is always “.TIF”.

Options

      There are three options:- Create new file, Append to existing file, or Insert into existing file.

 

The ‘Insert’ option will show a number of ‘Thumbnails’ to allow selection of a page before which the new page will be inserted.


The TWAIN dialogue

      If this box is checked then a TWAIN dialogue will be shown when the ‘Scan’ button is clicked before scanning begins. The dialogue shown will be provided by the TWAIN driver for the scanner in use, and so will vary from scanner to scanner.

Show Magnifier

Show Magnifier Ş gives a magnified window to help with inspecting the image for quality control.
